Use this to create a simple enquiry-to-callback process before buying a CRM or building custom software.
1. Capture Every Lead
Record name, phone, requirement, source, date, owner, and consent/context for follow-up. Do not rely on chat history alone.
2. Define Statuses
Use a short list: new, contacted, requirement captured, quote sent, follow-up due, won, lost, not relevant.
3. Set Response Targets
Decide the maximum delay for first response. For active enquiries, aim for same-day response and clear next callback time.
4. Use Templates
Prepare WhatsApp and email text for first response, missed call, quote sent, reminder, document request, and polite close.
5. Review Daily
The owner should see new leads, overdue callbacks, high-value opportunities, and stuck quotations every working day.
6. Keep It Clean
Remove duplicate records, update lost reasons, and avoid sending unsolicited bulk messages without customer context or approval.
