Four questions before buying AI software

1. Is the workflow standard or business-specific?

Standard tasks can often start with packaged tools. Business-specific commitments, exceptions and escalations usually need design before automation.

2. Where does the data live?

If the answer spans CRM, inboxes, WhatsApp, spreadsheets, tickets and cloud systems, integration quality may matter more than model choice.

3. What can the AI decide without approval?

Separate drafting, recommending, routing and executing. Customer-facing, financial, medical, legal, compliance or security-sensitive actions need human gates.

4. How will success be evidenced?

Define acceptance tests, owner dashboard fields, exception logs, rollback steps and review cadence before scaling any tool or custom build.
